The system records who has agreed to the policies and the facility manager can present new documents to the user at any time. We also have a separate mailing list for all users and PIs and can email all users of a certain microscope through the booking system. But the most effective way is to speak to the user directly... Above that you'll get laser safety advice. When it comes to acknowledgements in articles, we have a system that runs quite smoothly: every 6 months we sent to all users and their PIs an email with the full list of papers produced with data acquired or analysed at our facility, organized per year. We explain to them that we need their acknowledgment to get money, where to get the official acknowledgement text and ask them to check if their latest paper is on the list. It is very fast for them to do this and they normal remember what they have published in the last 6 months. They are normally eager to tell us about their last paper if we do not have it. It also reminds the PIs regularly that they need to acknowledge us and where to get the latest text. Students and postdocs tend to forget. Maybe 1 paper per year or so. When it happens we complain to the PI and the user and remind them that this is mandatory and that they have signed of guidelines. It is always because they forget so the bi-yearly email to users and PIs goes a very long way in solving that. Only once we heard of a paper with our data but no acknowledgement where the user has ' helped a friend ' to acquire data but he did not think that he ought to be listed as an author so we did not get acknowledged either. I told him off and said that for his own sake he should have been listed as an author with a proper description of his contribution. And of course we reminded him that all papers must acknowledge us, friend or not. This system runs very smoothly because there is very little hassle for everyone. It also helps users realize that help goes both ways and that we sometimes need them. So when we need to know who uses patient samples for a grant proposal or if we send a satisfaction survey, we get a good response rate. For every new user, at first we read quickly through those rules together, underlying the key points about usage and safety. Then, after they have read it carefully on their own, they should send an email to us, with their PI CCed ,stating that they read and understood all the contents. Without this email the person can not be considered a user of the facility and can therefore obtain neither trainings nor access to any of the instruments. As Andreas, we do also have mailing lists for all users of a certain microscope. Those mailing lists are used from facility staff to notify about instrument issues/updates/downtimes/ etc.. and to give general warnings (e.g. we found contamination on objectives, etc..). Users use those mailing lists too to notify each other about last minute changes to their bookings. We also ask the users to fill up a comment at the end of their session stating if everything was OK, or if they had some minor issue (e.g. software crashed; found the microscope table dirty; etc...). Even though not every user leave a feedback behind, this system is helping us a lot to keep track of messy users and to prevent damage. As I see it, the consensus is for written policies to cover: * Safety and cleanliness * Reservations and cancellation * Training and access * Appropriate acknowledgement of core contributions. Many cores require users to explicitly sign off on the policies; everyone posts them on the website and discusses them with new users in person. As for encouraging acknowledgements and keeping track of papers, Sylvie Le Guyader suggested emailing users and PIs periodically with a list of all papers that used core equipment, and asking them to check if their latest work is on the list. I like this because it provides a positive model, and also because it incidentally highlights the core’s contribution to the research community. I currently search PubMed each week against a list of core users, and do my best to locate missed acknowledgements; but I’m hoping that Sylvie’s method will be more efficient and encourage our users to be more proactive.
