New computer for Zeiss LSM 510

Dear All,

We have had a Zeiss LSM 510 META confocal for about 8 years now and the computer
is ready to be retired.
We still carry service contract on the machine, but not on the computer.
The replacement of the computer through Zeiss will cost us about $8,000.00.
Does anyone have a suggestion how I could upgrade the computer in the cheapest
way, considering that we are going to have to go through Zeiss anyway to do the
boards/software replacements.
Did anyone have a similar experience and found a cheapest/functional solution
for the case?

The replacement cost estimate by Zeiss ($8000) inlcudes installation, also we were told by Zeiss that if we purchase the computer through them they will include software and computer coverage in their service contract, currently since the computer is old, they no longer cover it. We were also told that we can always use a third party computer (which could be much cheaper), but in that case we will have to pay for the installation in the system and they will not cover any pc or software issues in the service contract.

The question is: what alternatives do we have?

In my experience it is always best to get the recommended computer from the vendor that sold the system. You can run into a lot of compatibility issues and vendors use known builds that have been subjected to a lot of testing. It is never worth it to save a couple thousand dollars on a computer that is driving a system worth hundreds of thousands of dollars. If your price includes installation, it is a good deal.
I highly recommend that you get it through Zeiss. You won't want to lose coverage for PC and software issues going forward. Everyone should keep in mind that a 4-5 year life on a computer running a system like this is normal. If yours is 8 years old, it has served you well.

To a certain extent, the issue has to do with staff.  If you have a person who is very knowledgeable about and responsive to computer issues who can navigate the vagaries of opaque complex software, then you go for the cheaper solution without service contract support.  Otherwise, the purpose is to have a working confocal, so you pay the vendor.

I agree.

In the interest of keeping our IT maintenance burden under control, we routinely ship our own standard type of PC to instrument vendors, with our configuration of the OS and maintenance tools, so that they can install on it and test before delivery. But we don't do that for a confocal microscope, or in general for instruments with high data acquisition rates. That is too risky --  there are some fundamental challenges in using Windows systems for these applications.

If you would really want to have your own computer on a system, I would strongly recommend that you buy it and ship it to the instrument vendor, so that they can install and test it properly. Obviously, even assuming that they would be willing to do it, this is likely to become more expensive than buying the standard they offer. (Unless you negotiate it as part of the original purchase.)

I've already related to Adriana how we successfully implemented a third-party computer on our LSM 510 system successfully, but our equipment was not on a service contract, and it is only lightly used. With that in mind, I don't see a clear answer for you one way or the other.
