Lately, many people who do not use any of our instruments requested access to OMERO. We don't wish to turnback/discourage people from using OMERO. We have the infrastructure and are able to expand it to accommodate more people, but we don't have a model that would involve external people from outside the facility. How is this been handled elsewhere? If you have a model, could you please share? What's your experience? Are there any pitfalls? Any advice/comment is greatly appreciated. We do not have a final decision but here are some point that I think are important, at least in our institutional context. To put this in place, we are in a self financed core facility that extends across different institutions and have some 800+ active users. * While we are not policing this, in principle our OMERO server is for our users. We do not want either to discourage usage but we do want to get things out of hand. * We have an LDAP server to manage accounts. That is working great, but our current problem is to manage the people that is leaving... Keep in mind that this might be very particular to us as we cannot rely on institutional user databases. * The main problem I see over time is data that stays orphan. Non-permanent staff leaving the institution and their data staying in a not managed private group. I want to implement some kind of rule for this kind of data being deleted after some time (5 years??). * For longer periods of time, what I would like, is that users adopt a Data Management Plan (in some form of template) were things are more clarified. The point is that we cannot keep the data of everybody for ever. * Legal aspects of data ownership are also a concern. I'm recently realizing that those might be more intricate than I was expecting and we might need some legal advice. Those are just some thoughts which at some point we have to materialize in a OMERO usage conditions document. THe kind of thing that they have to agree with at the first login.
