I've not pushed it live yet but am hoping to in the next few months. I found it pretty simple to set up and really (really!) versatile. You may want to have a look. They offer hosting options but it's a fairly trivial setup. This topic does come up fairly frequently, so I would recommend searching the listserv archives to find some (slightly out of date?) opinions on other options. I think it usually comes down to how much work you're willing to do versus how much you're willing to pay someone else to do the work. Best, Dave PS. We use BookItLab. Our institution's core was instrumental in the development, although we have no commercial interest (and certainly not I). This is used for booking all types of equipment, billing etc. Admins can get emails upon bookings, can force tutoring on new or inexperienced users (i.e. they cannot make a reservation without tutoring unless the admin has authorized it), you can display pop-up messages for specific groups of equipment or a single instrument (I use this whenever something is offline, fixed, instructors are or are not available etc, instead of sending mass mails to the entire faculty). You can set separate admins for each group of instruments. You can look up prior usages or bookings and export to csv files. You can limit time per instrument or group of instruments so certain labs do not monopolize the time. And more. You install a small local version on each instrument and the rest sits on a server, accessed anywhere by web with institution user and password. I will say that this is not small thing meant for just a few instruments. I am not on the IT side, I only have admin for the microscopy core, but this is definitely something that needs to have an IT person in charge of. PPMS/Stratocore was one of the few commercial systems that I found and liked, I have been using it successfully since. It does all I need at the moment and much more. I am confident that many of the other systems would work well and as others have suggested you should look at the capabilities and cost. I have talked with colleagues who do have systems, mostly developed or modified in-house, that tie into the institution financial system and this is something that would be useful. At this time I don't know if Stratocore is capable of this but I will be investigating it in the near future. So you might want to talk with some of your institution wide administrators to see what is or could be available through the financial system software and IT departments before deciding on a facility only system. Once I took the "real time" reporting option I found that the cost of the software was recovered from income previously lost when the users "forgot to book", or underestimated their microscope time. I believe it is possible to run it on your own servers to comply with data storage rules but, in the end my university allowed me to use use the Stratocore servers. There are many reasons I like this service but, one stands out. When we had an external financial audit of accounts it took me 5 minutes to provide sorted and clearly organised detail of every minute of microscope time used (and £ spent) going back years.
