Core protection from damage

Dear Core Managers/Directors,


Please advice what caution and measures
I should take before allowing a new user
from outside institution to use Core confocals.
The customer projects 500hr/year usage.


Of course I intend to provide training and check
the qualification/experience, and we have a service
contract on the 780 confocal. Please advise if
any additional conditions on top of following
SOPs and paying bills and/or contracts should
be considered. During last ten years no serious
damage and no stolen equipment in my Core,
but who knows... there always is the first time.


A sample of Core rules and/or user contract
is also appreciated.

Hi Arvydas,

Your core/university will be considered a vendor by the user’s institution, so you will probably need to provide them with a certificate of insurance in order to collect the usage fees.

In fact, the two institutions should probably exchange certificates of insurance so that if the user accidentally breaks something or is somehow injured on campus, they are covered. Or at least the universities can discuss amongst themselves who is liable. This is based on conversations with my institution's Risk Management department in a similar situation.

Service contracts don’t usually cover “user error,” so trusting the user is of the greatest importance, no matter where they are coming from.
