We have used Google Calendar for several years now and it has worked flawlessly. Never had a problem with users modifying other appointments, they just get a warning that it is possible but not cool. I just wish that it were easier to extract invoicing information at the end of the month. Is anyone aware of a system to do so?

The OCF software developed at the University of AZ allows for end-of-month
billing. Users have their own logins, there are administrative functions for adding/deleting users, changing rates, restricting how late someone can delete a schedule appointment, etc. Someone asked me about my experience with calendaring recently, here's my response: The computing facility for AZ Research Labs (provided core facilities to campus) developed the OCF scheduler software. While it doesn't do everything, it does have the virtue of being freely available as open source software. Obviously there will be a financial investment in IT time/resources for anyone who wants to use OCF, but we like it here. For more information, see: http://demo.arl.arizona.edu/ Other labs I know of use either iCal or CALcium from Brownbear Software. I use iCal for low-traffic instruments, but I don't have any experience with CALcium. The booking system from Rockefeller will do so. We use the Calcium calendar from Brown Bear which allows exporting reservations as text data that can be imported into spreadsheet or database. I have a database that summarizes user hours by budget to generate billing info. The price of $200/yr. given in an earlier posting is actually their full service contract. We bought a 10-calendar license several years ago and maintain it on our own web site.
You can require logins to prevent users from editing other's reservations, but we've never had such a problem. We still use the laborious handwritten sign-up method but have automated the rest of the process. In our imaging facility, I administer all the computers and users are given individual login ID's. I run a program in the background called Greyware Logon monitor http://www.greyware.com/software/logonmon/ (can be run on individual computers or across a network) which creates a data file with times, dates of all logons/logoffs. This also allows me to identify the after-hour users who need more training - if you know what I mean.
At the end of each month, this file (xls, cvs) is then uploaded to a web-based billing program, written by a close friend (i.e. for little money). I upload the csv file and a secretary takes care of the rest by logging into the program from her computer. The software then links, users, equipment, rates, hours of use, PI's, etc. to create nifty looking invoices which are emailed to the recipients. Very easy. If there is interest, he may be convinced to make the program available to others. We use Calcium but require clients to call to book the instrument time. They can see what times are available on line and call for open times but only staff can actually add or delete an appointment. It costs a little staff time but ensures we know exactly which objectives/incubators/etc a client will need. We also can be sure the appropriate staff are around to supervise relative newcomers. this free online reservation system at http://www.bookingbay.net will fit your job. It's free and quite versatile in configuration. It uses calendar view for setting up and and making bookings. You can use facebook logins as well. Pretty cool.
