Online booking systems for microsccopy facilities

Hello,
I'm interested in upgrading our online booking system and wondered what advice the listers could offer in this respect? Any recommended systems, or ones to avoid?
It will be for a multi-user (all internal) microscopy facility (7 confocals and image analysis computers), but may be expanded to include a few EMs and possibly even seminar rooms, etc.

We also use Yahoo calendars.  We have one for each instrument in the facility.  Access can be restricted to invitees only.  In our facility these are the folks who have been trained to be independent users.  These calendars work well for booking but the final monitor of usage is the server to which all our instruments are connected.  The users use the same Yahoo ID and passwords to login at the instrument.  Through this mechanism we know who logged in, which instrument they are using, when they login, which programs are being used, and when the log out.  Our billing is based on what they actually use not was is on the booking calendar.  This system has been in place for at least 6 years and it works.

Hi Graham,

I know that there are some packages specifically for this, but my
facility has successfully used a wiki to handle this. Our "reservations"
wiki is at:

I believe it is viewable by the public, but login is required to edit pages.

I don't manage the server - it is hosted on a server in a different
department, but I think wiki software is popular and well known to IT
people who should be able to help you. I make it a policy to get out of
as much unnecessary tasks as possilble.......

It gives us a calendar, ability to see notes people may leave on the
instrument status, etc. The wiki keeps a revision history - we have used
this only a couple of times when people "replaced" an existing
reservation. And it is very flexible.

We use a locally developed resource, On-Core Facility Scheduler (OCF).  It is open-source, and freely available from the Biocomputing facility here at the University of Arizona.  It does require Linux and probably a few other things.  It’s used extensively to schedule all sorts of service labs here and at other universities.  There are some very nice administrative features to the software.  If your instrument runs on MS Windows, there’s even a bit of software that runs in Windows that will report back to OCF server when a user has logged on/off, which helps with calculating the monthly billing.  It’s a nice bit of software, not perfect, but pretty darn good.

A number of facilities at Yale use ScheduleBook, which is a commercial service. http://schedulebook.com/index.shtml

It is easy to set up and modify the listed equipment and is not expensive (yearly fee). A feature that I like is the ability to view just one day at a time in a format that displays reservations as blocks of time. That makes it quickly apparent when instruments might be free. One disadvantage is that it does not allow for any data export that would simplify any billing system that charges user fees.

Howdy All,
                We use a comercial program called Calweb (designed for booking meeting rooms). We charge per hour for our instruments. Calweb can export its data as an excel spreadsheet that we can then use to calculate our usage charges.
Our old system used to be paper based and take 3 people all day to calculate our charges. It now takes one person abou 30 minutes to do it.

The PPMS facility management system is a web based software that could
interest some of you.

It is a collaboration between Institut Pasteur in Paris and the
Rockefeller University in New York.
It has been designed to specifically fit the needs of shared equipment
core facilities. PPMS handles scheduling, incident management,
invoicing, and collects usage statistics.

Some features include :
- per equipment scheduling parameters including usage quotas and user
authorizations
- multiple levels of authorization for booking and managing the equipment online
- advanced cancellation policies
- one click invoicing (currently using the booking times)
- incident reporting and maintenance management
- real-time equipment usage statistics
- export statistics and invoices to Excel
- training requests and training management (in development)
- synchronization with a LDAP+Samba system for using login times in
the invoicing and the statistics (in development)

It is not open source but it is available free of charge for academics
or non-profits institutions (an agreement needs to be signed).

We are currently using “iCal” by Brown Bear it is quite cheap. You can download one free fully functional calendar, or alternatively use their server for free as a limited trail.

 

We are probably going to upgrade to their other product “Calcium” soon for some extra login features. This more advanced product does not seem that much more expensive.

 

These products will run under a windows server, and you can generate booking statistics etc.
