repair budget

Hi everyone

We are trying to come up with a budget that makes sense. Sigh...

How do you estimate the amount of money you will need in the coming years to fix existing microscopes?
Do you apply a percentage of the price? we are trying to estimate which contract is most cost effective.
We will anyway keep paying for 1 service visit per year.

Thanks for your input

Med vänlig hälsning / Best regards

Sylvie

Sylie-
The manufacturer will charge up to about 10% of the purchase price per
year for a service contract.  We have found that some are good enough to
offer a reduced amount of service calls for a lower price.  These seem to
be a good deal, but a lot of institutions are operating microscopes on a
self-insured basis.  This means if it breaks, you have to have enough
money banked to fix it.

Objectives tend to get damaged in core facilities.  Expect to replace at
least one expensive one a year.  As for the bigger picture, when looking at
a system I assume something like a major laser will need to be replaced
every 4-5 years.  A good starting point is to pick the most expensive
single part on each system, figure out the cost to replace it, and work
from there.

Bonsoir, Sylvie,

this is not a trivial issue.

Besides the natural and common sense reasoning (yours), there is a legal
issue, at least at places like the Karolinska, Stockholms Universitet,
Universitetet i Oslo (where I am) and so on:

As far as I know, in all Scandinavian countries state institutions are
automatically self insurance units. Legally this means that you are not
even allowed to purchase any so ever form of insurance. At least in
Norway, this means that we are not allowed, formally speaking, to buy any
warranty extensions or the like. The original warranty periods - two years
at minimum we have to demand (as demanded from us by Norwegian law) -
hence cannot be extended by buying extensions, since any
extension would, legally speaking, be interpretable as the purchase of an
insurance and this is not allowed.

I would therefore recommend you to FIRST speak to a person formally
educated in law and employed at the Karolinska and entitled to provide
competent answers related to this problem BEFORE trying to purchase
anything of the type you mention in your mail.

Best wishes,
Johannes (no persons educated in legal matters in the family as far as I
can genealogically trace back, which, however, is not very long)

You can't buy extended warranties?  Yikes!  In that case I would recommend
budgeting for the replacement of an entire system every 2 years (or when
the default warranty expires.) @:-)

But that, for example, would not work here in Leicester as our accounts are now zeroed at the end of every financial year, meaning that we cannot build up a surplus to cover future costs.  So have a talk with your financial people as well.
